Electronic Documents Management EDM

Features of Electronic Document Management

ACQUISITION
The acquisition concerns both existing and produced documents, as well as paper (via digitization) and electronic documents.
RANKING
When a document enters the management system, it must be recoverable. It is indexed according to its metadata (type of file, date of addition, responsible of the addition) and its content (search in full text).
STORAGE
It is imperative to ensure the integrity, security and backup of documents management. The initial storage of documents and their backup must therefore be considered.
DIFFUSION
Documents are often intended to be broadcasted, electronically or after printing. In some cases, they have to be transformed and checked before the broadcast.
ARCHIVING
Some documents must be legally preserved but are no longer relevant to current operations. They then become candidates for archiving, which can have consequences on their access and indexing.
Documentary Management: What benefits?
REDUCTION OF PAPER-RELATED COSTS
The existence of a paper document induces costs: consumables, research, archiving. Documentary management reduces these costs at least in part.

UBIQUISTIC ACCESS TO DOCUMENTS
The GED system is accessible from all over the organization. Many people can access the same documents simultaneously.

IMPROVING INDEXATION AND RESEARCH
Indexing and researching documents are faster, more complete and accurate in a GED system than in paper archives.

QUALITY APPROACH
Any document produced or transmitted by your organization is registered in the GED. This systematic approach is naturally part of the quality approach.
Disadvantages and limitations

FINANCIAL COSTS
Setting up the GED involves direct financial costs that include the set up of the technical infrastructure and the integration of existing documents into the GED.

ACCOMPANYING AND TRAINING
Users must be trained and accompanied when setting up the GED. This training covers both software tools and application of new procedures.
LIMITS TO INDEXATION
The development of multimedia contents (sounds, videos) and fast evoluting (wikis) presents a growing challenge to indexing data.

GED: the stakes

The GED allows to control the flow of documents and to improve traceability. The circulation and processing of documents are facilitated. The GED is also a solution to meet the legal requirements related to archiving and quality process requirements. Despite initial costs and the need for new procedures, it can lead to significant financial savings and productivity gains.

GED Trends
The production and consultation of documents in an organization increasingly involves collaborative work, including remote work, and mobility. GED publishers seek to accompany these trends
